Our Policy

We are Exeter Northcott, a registered charity operating at both the Northcott Theatre and the city-centre Barnfield Theatre.

We recognise the importance of your privacy and our role in making sure your information is protected and respected.

We aim to be entirely upfront and open about the customer data that we use. Collecting this data makes it easy for you to book shows and events, keep up to date with our activities, and engage with us in other ways like our Young Creatives activities or supporting our continued future.

We do not obtain any personal data that we think would be likely to cause individuals to object to or complain about, but we are always open to discuss with you any of the information we hold.

What do we do with your information?

We use your data to process your ticket purchases and, with your permission, provide you with details about future events and services based on your past purchasing history. We use anonymised data to analyse audiences as a whole for reporting to Arts Council England for example, and to help us plan future marketing and communications campaigns.

We take all reasonable steps to ensure your information is kept secure and is accurate. We have never and will never sell your information to any other company or individual, or use it in any way which could compromise your privacy unless required to do so by law.

Some third parties who we use to provide services for you may have access to your data. We make sure anyone who provides such services for Exeter Northcott enters into an agreement with us, meets our standards and only uses your information in any manner in which you could reasonably expect.

You may, at any time, update your communication preferences opting to receive or stop receiving information from us.

What information do we hold about you?

For the majority of our services, we simply require name, postal address and email address so we can process payments securely, post tickets if requested, and keep you informed about your future visits. Your payment card details are never stored by Exeter Northcott.

We may require more information from you in order to provide additional services or, in some circumstances we may require further details from you to make an investigation. Additional information required could include:

• Information about access needs so we can provide assistance for you or a member of your party.
• Copies of any correspondence sent by you to us or us to you.
• IP address, cookie and website usage related data if you use our website and have consented.
• Details of memberships, ticket purchases, donations made, and any other activities you may have undertaken with us.

All customer data is held on a single, centralised database which is operated and managed by Exeter Northcott. That system records sales information, tracks communications to and engagement with each individual customer. For some customers this might also include sensitive information such as access needs which are used to provide specific services to those customers when they visit us.

Photographs

On occasion, we will take photographs and video footage of our audiences and participants at events for archival and promotional use. We will always let you know if we intend to do this and give you the option to opt out. We will not take individual photos or videos of children without written consent from parents or guardians.

Data as a booker for The Barnfield Theatre

Exeter Northcott is now managing the Barnfield Theatre and is therefore data controller for that venue too. If you have opted in to received information about events at The Barnfield, you will now receive information about this from Exeter Northcott.  You can sign up, opt out or change your preferences at any time.

Who has access to your information?

We work with a small number of companies who process data to facilitate direct communications, and to analyse anonymised data on our behalf. Strict agreements are in place with each company to ensure the safe use and safe storage of the data we supply.  Our processes are reviewed regularly to ensure that our systems are as effective as possible. These organisations will not contact you directly on behalf of Exeter Northcott as part of any agreement with us and your data is supplied to them as instructed by us and is only retained as long as required for the provision of the services you have requested.

  • We use our website to sign you up to email newsletters and to generate responses to job enquiries.  Our website is provided by Splitpixel.
  • We use Spektrix Ltd to process our Box Office ticketing system, and to report on your order history, donation history, membership status, and to show trends in sales patterns.
  • We use DotDigital to send Newsletters and keep in touch via email.
  • We use Purple Seven, an independent audience insight agency service.
  • We use Activity Stream for audience and ticketing analysis.
  • We use CrowdEngage to send you information about your visit.
  • We share anonymised data with UK Theatre for its Evidence Centre.
  • We may use other similar services provided by other parties, but which do not adversely affect your rights on the terms of this notice.

We only share personal details with third parties such as Theatre Companies you have booked to see, with your explicit consent.

Children

We take the protection of children and their personal data very seriously. For this reason, as we are unable to verify parental consent, no-one under the age of 13 is allowed to use our website or services. Children under the age of 13 must ask their parents or an adult to make bookings for them.

If you or a child you care for is participating in an event or project, we may ask you for additional personal information.  At this point we will provide you with an additional Privacy Notice so that you are informed about what information we will be asking for and how we will be using it.

We makes use of cookies which are files placed on your computer that enable us to track certain information relating to your use of www.exeternorthcott.co.uk.
